Privacy Notice

Your information, handled with care.

How the USA Flying Club uses the information and documents you send us.

What we collect

When you apply for membership we collect the details you enter on the application (contact information, emergency contact, pilot certificate, medical and flight experience, and safety history) and the documents you upload, such as your pilot certificate, medical or BasicMed documents, photo ID, logbook pages, endorsements and insurance documents.

How we use it

We use your information only to evaluate your application, to verify your qualifications and currency, to arrange the club's aircraft insurance (including sharing it with the club's insurer for underwriting), and, if you are accepted, to administer your membership. We do not sell your information.

How it is protected

Applications and documents travel over an encrypted (HTTPS) connection. They are stored in a private, non-public location on the club's server and are emailed to the club administrator. Only club administrators can access them. They are never published.

Scheduling and billing

Approved members are invited to the club's Flight Schedule Pro account, which handles aircraft scheduling, billing and payments. Information you enter there is also subject to Flight Schedule Pro's own privacy policy.

Retention and your choices

If your application is not accepted or you withdraw it, we delete your documents within 12 months unless you ask us to keep them on file. To see, correct or delete your information at any time, email pilot@usaflyingclub.org.
